Duties and Responsibilities

• The Director is to be a key thought leader along with senior leadership in how to effectively utilize events to ultimately maximize philanthropic support for the institution.
• Develop event specific, comprehensive strategies to engage, cultivate, and solicit major and principal gifts in partnership with corporate foundation and relations, regional gift officers and school based officers;
• Lead strategy sessions for the development of event programming for all advancement division supported events;
• Planning and execution of logistics (e.g., facility selection, menu planning, transportation arrangements, and audio/visual equipment) for organizational meetings as well as events;
• Execute and provide operational support for day-of-events.
• Negotiate contracts with vendors; keeping track of all expenses as well as reconciliations and preparing reports on activities costs.
• Based upon event strategy create, reviews and finalizes guest lists and assists while supervising the invitation mailings and the creation of brochures/bookletspublishing.
• Works with other event staff members to implement ideas for improvements as they are identified.
• Provides post-event feedback on turnout and vendor performance.
Responsibilities:
• Working together with event team members assigned to develop university-wide events to meet or exceeds annual revenue goals associated with each fundraising events.
• Manages a Special Events team that consists of three professional staff and student workers.
• Manages all aspects of event execution, including volunteer recruitment, e-communications, timeline and effective strategy for a successful event.
• Oversees all event donor and prospect identification, cultivation, solicitation, and stewardship.
• Manage and report on budget and logistics preparation.
• Works closely with a variety of vendors and venues.
• Develops annual expense and revenue budget projections and help define corresponding strategies for overall event programs.
• Oversees and manages event project timelines. Monitors and prepares ongoing event progress reports.
• Evaluates event results and prepares recommendations for future events as needed.
• Cultivates relationships and effectively recruits volunteers. Works with the Development team to cultivate event attendees. Recruits volunteers.
• When appropriate works with other fundraisers to secure event sponsorships.
• Collaboratively develops solicitation plan and either solicits gifts or works with other fundraisers to make sure event revenue goals are met.
• Works closely with a variety of constituents, including but not limited to, University senior leadership, Board of Trustees, university and division colleagues, internal university partners, and external friends of the university.
• Works with the University Marketing and Communications department in the creation of special events promotional materials.
• Completes special projects as assigned by the Senior Associate Vice President.

Minimum Education and/or Work Experience

The candidate must have a baccalaureate degree and at least four-ten years of professional event planning experience and with managerial experience.

Qualifications

- Demonstrated success in external relationship management and securing event revenue
targets.
- Demonstrated success in planning and managing large scale fundraising events.
- Possess excellent project management skills.
- Able to communicate (verbal and written) and work effectively with volunteers and staff
- Able to manage details and follow through with a minimum amount of direct supervision;
- Superb organizational skills and attention to detail.
- Experience in relationship cultivation.
